
ADEE (the Association for Dental Education in Europe) is currently recruiting for the post of ADEE Membership and Finance Administrative Officer. Based at the ADEE office within Dublin Dental University Hospital and reporting directly to the Chief Administrative Officer and Secretary General of ADEE, the role is currently 21 hours per week. (Some flexible and hybrid working can be accommodated). The role will also involve some European travel including a one-week placement in a European host city of the ADEE annual meeting.
The Role: As part of ADEE’s small office team the successful candidate will play a key role in day-to-day operations of ADEE. They will be responsible for the following core administrative function:
- Membership database maintenance
- Debtor and creditor management
- Invoicing and Debt collection
- Bank account management and reconciliation
- Various administrative functions as necessary
- Communications with member schools and meeting delegates
- Preparation of monthly management accounts with the CAO
- Prepare annual books of accounts for audit
- Assist in events management (planning, set up, exhibition management, registration services etc.)
- Board and committee support as necessary
The Person: The successful candidate will have experience in:
- The Microsoft Office Suite of products
- Xero (or similar online accounts systems)
- Good verbal and written communication skills particularly with those who use English as a second language
- High performance team working and an appreciation of their need for flexibility in small teams
- Ability to manage self and contractors
- Willingness to share ideas and improvement
- Events and hospitality services experience would be advantageous
ADEE is a registered charity in Ireland thus having the following experience and knowledge would be advantageous:
- Knowledge of Irish Charity Regulations and the role of the Charities Regulatory Authority
- Experience of compliance and quality assurance principles
Finally, the successful candidate should have a flexible approach to working hours, and appreciate that in small organisation such as ADEE, their role is likely to evolve over a period of months and years to meet changing contextual needs.
Contract: The initial contract will be subject to successful completion of a 6-month probationary period. Given ADEE’s financial functioning and reliance of membership and corporate financial support, the contract will then be renewed annually subject to funding availability. Annual paid leave will be in line with Irish Statutory provision for part time workers i.e. 8% of time worked.
Salary will be based on the 12 point Grade IV clerical assistant grade in the Irish Public service. This salary ranges from 35,256 to 54,370 following long service increments. The candidate will initially be placed on the 6th point of the scale (24.19 per hour) for the period of probation and will then following successful probation be allocated to the 8th point (26.34 per hour) following successful probation period. Total working hours will be 21 per week and how these are allocated is flexible.
